Terms & Conditions (including Refund & Cancellation Policy)

By enrolling with Everest Tutoring, you agree to the following terms and conditions. These terms apply to all group and private (1-on-1) tutoring services offered in-person and online. If you are under the age of 18, a parent or guardian must accept these terms on your behalf.

1. Enrolment and Payment

  • Group class fees are payable per term, either upfront or in two instalments. Partial enrolments are calculated based on the remaining classes in the term.
  • Private (1-on-1) sessions may be paid weekly or by term, as arranged at enrolment.
  • Non-payment may result in suspension or cancellation of tutoring sessions.
  • Payments can be made via bank transfer, Stripe, or direct debit through Zoho Books.

2. Refunds and Missed Classes

Group Classes

  • No refunds are offered for missed classes or change of mind.
  • Students may carry forward a maximum of two (2) missed classes as credit to the following term, provided at least 24 hours’ notice is given.
  • Catch-up classes may be arranged in alternate time slots (in-person or online) depending on availability.
  • If no catch-up is possible, learning materials will be provided.

Private Tutoring (1-on-1)

  • No refunds are provided for missed sessions or cancellations made with less than 24 hours’ notice.
  • Students must give at least 24 hours’ notice to cancel or reschedule a 1-on-1 session.
  • Late cancellations or no-shows will be charged the full session fee.

If Everest Tutoring Cancels a Class

  • If we are unable to deliver a scheduled class (e.g. tutor illness, scheduling conflict, unforeseen circumstances), we will make reasonable efforts to reschedule the session at a mutually convenient time.
  • If rescheduling is not possible, we may offer a credit or refund at our discretion, depending on the situation and service type.

3. Commitment to Term Fees

  • Enrolment in any course at Everest Tutoring implies a commitment to the full term’s fees.
  • Withdrawal mid-term does not entitle the student to a refund.

4. Discounts and Promotions

We offer the following discounts for group classes only. These discounts do not apply to private (1-on-1) tutoring.

Sibling Discounts

  • Families with two (2) siblings enrolled in group classes are eligible for a 10% discount.
  • Families with three (3) or more siblings enrolled in group classes are eligible for a 15% discount.

Referral Discounts

  • If you refer a new student who enrols in a group class, both you and the referred student will receive a 20% discount on your term fees for that specific term.
  • For each additional successful referral within the same term, you will receive an additional 20% discount per referral, up to the value of your full term fee (e.g. two referrals = 40% discount for that term).
  • If you refer multiple students from the same family (e.g. a student and their sibling), this will count as a single referral and qualify for one 20% discount only.
  • The referral discount is only valid for the term in which the referral enrols and does not carry over to future terms.
  • The referral discount does not apply automatically — both the referrer and the referred student must notify Everest Tutoring independently in order to claim the discount.

Discount Policy

  • Referral and sibling discounts cannot be combined or stacked.
  • Where multiple discounts are applicable, the highest discount will be applied.
  • Discounts are applied at the discretion of Everest Tutoring and must be confirmed before the start of the term.

5. Student Conduct and Expectations

  • Students must attend classes regularly and punctually.
  • Respectful conduct is required at all times. Disruptive behaviour may result in suspension from classes.
  • Students are expected to complete assigned work and participate actively in class.

6. Use of Learning Materials

All Everest Tutoring materials are protected by copyright and provided for personal educational use only. Students may not distribute, share, or reproduce materials without written permission.

7. Communication

We communicate with families and students via email and SMS/text message. It is your responsibility to ensure your contact details remain up-to-date.

8. Limitation of Liability

While we aim to support academic improvement, results may vary based on individual effort and external factors. Everest Tutoring does not guarantee specific academic outcomes and is not liable for indirect losses or missed opportunities.

9. Australian Consumer Law

Under the Australian Consumer Law, you are entitled to a refund or replacement if our services have a major problem (e.g. unsafe, not delivered with due care or fit for purpose). This does not include change of mind, missed sessions, or timetable changes.

10. Remote or Online Learning Adjustments

In cases where in-person classes cannot proceed (e.g. illness, unforeseen events), Everest Tutoring may offer online sessions or recorded content. Students are expected to provide their own internet access and devices.

11. Privacy

Your personal information is handled in accordance with our Privacy Policy. We collect and store data for educational and administrative purposes only.

12. Governing Law

These terms are governed by the laws of Western Australia.
